Digital Address Book
^^^^^^^^^^^^^^^^^^^^
Welcome to the digital address book . This program is designed to work
in the same way as a conventional address book, but it is a lot more
powerful . These instructions will guide you around the system and explain
the various options in the program .
The Main Screen .
-----------------
The entire program is run using just one screen . This screen is made up
of the following sections :- Information Window
Messages Window
Control Panel
Typing Pad .
The information window is the part of the screen where all information
in a record is displayed . The messages window is just beneath the
information window and is where all instructions and requests from the
computer are displayed . Next is the control panel . This is made up of eight different icons, and it is where all the options are selected . Finally there is the typing pad which is where all information is entered,
when using the mouse .
All of the options in the program are entered using the control panel .
to enter any of the options simply click once on the required icon . Here is
an explanation of all the options .
The File Opening Options .
--------------------------
These options can be used at any time and need to be used before any of
the other options will work .
LOAD
As you can guess, the load option loads a file from disk which has
previously been created with the OPEN option .
OPEN
This option will create a new file on your disk, which you can then add to
and edit with the other options .
WARNING: Open cannot be used to load a file from disk . If you enter the
name of a file which exists on your disk, it will be deleted and replaced by
the new file .
The Record Finding Options .
----------------------------
The record finding options can only be used once a file has been opened
or loaded . They are used to get a record so that it can be used with other
options .
ADD
This option falls between the definition of a record finding option and a
record editing option . As the name suggests, it is used to add a record
onto the end of the current file . Once you have entered your details, you
will be asked if the information that you have entered is correct or not .
If you answer No, then you will re-enter your details, if you answer Yes
the record will be saved to disk .
VIEW
The view system is designed to let you browse the a file and select a record
that you want . When you first click on the button, you will be presented
with the first record in the file . Now you can use the two arrows on the
edge of the view button to move back and forth through the file . Finally
when you have found the record, click on ENT (Enter) to exit the option .
SEARCH
Search is best used with large files when you need to find a specific name
When you click on the button, you will be asked to enter the surname of
the person you wish to find . The computer will now search for an occurrence
of the name you have entered in the records . For example if you entered the
letters JA the computer may find the names JAMES and JACKSON as they both
begin with JA . If on the other hand you entered JAC, the computer would
only find JACKSON .
Once it has found a name which fits your description, the record will be
displayed and you will be asked if you wish to continue to search . If the
record displayed is the one that you want, select No otherwise click on Y .
The Editing Options.
--------------------
Now that you have a record in memory using the record finding options,
you can edit the record with these options .
ALTER
The alter option works in much the same way as Add . With alter though, the
details are written over an existing record, rather than added on to the
end of the file . This means that a record must first be in memory . It is
important to select the right record before choosing this option as it will
be replaced by the new one . This makes alter very handy for changing
someones details, or for replacing one person with another .
PRINT
The print option does not really edit the record, but puts it to use . Once
you have confirmed that you wish to print (by pressing ENT), you can design
how you want you details to be printed out . Firstly, you must enter how big
you want the top and bottom margins to be (this means how many blank lines
do you want before and after your information) .
The next section is how many copies, you wish to make . This can be
anything from 1-99, if you select 0 then then you will exit print mode .
Finally you must decide which fields in the record you want to be printed .
After you have done that, the details will sent to your printer and you will
return to the main program .
The only section which does not fit into any of the above is the quit option
. If you click on this you will be asked if you are sure . If select Yes,
the file that is currently open will be closed and you will exit the system
